Graduate Steps to Register

Step 1: Make Sure You Are Eligible to Register

Eligibility to Register
Prospective students are not eligible to register until they have been fully admitted to a Degree program in the Faculty of Graduate Studies. A provisional offer of admission is not sufficient to be eligible to register. If you receive a full or a conditional offer of admission, you may proceed with registration.

Students in good academic standing who were registered or temporarily withdrawn in the most recent session at the University are eligible for registration in the next session. Students who have withdrawn under any other circumstances and who wish to return, or students who are switching into another degree program, are required to complete an Application to Reregister Form.

Newly admitted students will be sent an “Offer of Admission” letter. All eligible new and returning students will be sent an email advising them to check their registration date through uSource. Your registration date can be found by logging into uSource and clicking on the following: Students > Student > Class Registration > Check Registration Status. If you do not have an active email account, you will need to access https://netlink.uvic.ca to apply for both a UVic email and NetLink ID.

Students who are not eligible
Returning students who are not eligible to register can contact the Graduate Admissions and Records Office at 250-472-4657 for assistance.

Continuity of Registration
As continuous registration is required by the Faculty of Graduate Studies, you must either register or temporarily withdraw. Failure to do so will result in your program being terminated and a statement “Withdrawn without Permission” will be added to your official transcript. If at a later date, you are reinstated to your program, a $250 reinstatement fee will be assessed.

Step 2: Select Your Courses

Before using uSource for registration (https://usource.uvic.ca), you should know which courses are included in your personal graduate program. The Graduate Advisor for your program and/or your Degree Supervisor should be able to answer your questions about course selection and program details. If you are unsure who to contact please check the Graduate academic advisor listing.

New Students
New students should not access the registration system until you have discussed your registration with your departmental graduate advisor.

Returning Students
As a returning student, your program is shown on your degree audit report. Registration in a course that is not listed in your program does not guarantee that it may be used to fulfill your degree requirements. If you have questions about the eligibility of a course, see your department graduate advisor or your academic supervisor.

If you are working on your thesis or dissertation, registration in a thesis/dissertation section is required each term.

Step 3: Look Up Your Course(s) and Timetable Number(s)

Use uSource (uSource > Students > Student > Class Registration > Look up Classes) to identify the courses you wish to study.

If you are unsure of what you should register in, contact the Graduate academic advisor in your department or school.

Sections with a campus other than Main are restricted to students who are residing outside of the Southern Vancouver Island region and cannot access the Victoria campus.

Make note of the Course Reference Number (CRN) printed beside the appropriate section of your course(s). This is the number that you will use to register. Student Detail Schedule, View Active Registrations and Look up Classes via uSource (uSource > Students > Student > Class Registration) can help build your conflict free timetable.

Timetable Resources
Look up Classes (uSource > Students > Student > Class Registration) - Select options to search the class schedule and click “Class Search.” If you wish to see all courses for the subject you’ve chosen, leave the “Course Number” field blank. If you want to see a subset of courses (e.g. all 500-level courses), enter a “5” in the “Course Number” field and click “Class Search.” In the search results, if you click on “CRN” you can see more details about the course.

Note for returning students: If you wish to use some of the Advanced Search features when searching for courses, please be aware that some of the codes you are used to seeing have changed. See the tables below for the codes you will see in the new system as compared to what was used in the old system.

Step 4: Access uSource

Students Excluded from Registration via uSource

  • Students with outstanding financial obligations to UVic
  • Students auditing courses only
  • Students not enrolled in a graduate degree program (non-degree)
  • Visiting research students
  • Students approved to take courses under the provision's established for the Western Dean's Agreement
  • Students enrollled in the School of Management and Leadership Studies Certificate and advancing to the first term of the Master's program
  • Students in Interdisciplinary Graduate Programs
  • Students in Special Arrangement Programs
  • Students enrolling in coop work term only


When you access uSource, you will be prompted to enter your NetLink ID and password. To set up your NetLink ID (https://netlink.uvic.ca) you will need your student number.

Access uSource now (https://usource.uvic.ca).

Step 5: Class Registration via uSource

Courses Excluded from Registration via uSource

  • Courses requiring permission
  • Courses requiring a proforma
  • Co-operative Education work terms
  • Courses to be taken as audit
  • Undergraduate courses taken as part of a graduate program

 

Adding Courses and Using Worksheet
Access uSource (uSource > Students > Student > Class Registration), click on “Add or Drop Classes” from the list provided. Select “Registration Term” from the drop down list provided and click “Submit.”

Enter the “CRN” (Course Reference Number) if known, or click on “Class Search” to enter search criteria. If you use “Class Search”, select options to search the class schedule and click “Class Search.”

When the class screen appears you will see the list of the available classes. When the class is not closed (identified by “C”) select the box in front of the class and choose “Register.” If you click on “CRN” you can see more details about the course.

If you are ready to register, choose “Register”. If you wish to look for more sections, click on “Add to Worksheet”. You will be returned to the “Add or Drop Classes Page” and you will see the CRN you have chosen in one of the boxes in the “Add Classes Worksheet” section.

After choosing “Register”, the “Add or Drop Classes” screen will appear and you will see the registered courses. To add additional classes click on “Class Search” again or use “CRN.”

Linked Sections
Some courses at UVic require registration in more than one type of section (e.g. lecture and lab, lecture and tutorial). These different sections have been linked together to enforce simultaneous registration in both sections. You must register (or waitlist) in linked sections (lectures, labs or tutorials) at the same time. Similarly, you cannot drop linked courses separately; you must drop them both at the same time. You will also receive the same registration status for both of the linked sections. For instance, if there is a waitlist for one of the linked sections (lab or tutorial) but not for the other linked section (lecture), you will be offered positions on waitlists for both until space becomes available in the full section.

Dropping Courses
To drop a class for which you have already registered click on the down arrow of the course, select “Web Drop” and click “Submit Changes.” The “Web Drop” code is available for use until the 100% drop date deadline for a term. Between the 100% and Academic Drop Date Deadline, the “Drop Course” code is available.

Registration Error Message
If registration is not successful you will receive a registration error message. The “Error message” will be displayed in the Registration Add Errors above your Add Classes Worksheet.

The following list contains an explanation of the error messages you might see:

Campus Restriction This error indicates a course is restricted to students who attend a particular campus (e.g. Langara). Please contact the department if you wish to get permission to be registered in this specific section.

Closed Section This error indicates a course is full and has reached its set limit of students. At this time, no further registration is allowed. You may wish to check back at a later time as a space may become available if someone drops the class. Some courses maintain waitlists. See information on waitlists below.

Degree Restriction This error indicates that registration is restricted to students pursuing a particular degree (e.g. Bachelor of Engineering). Please refer further inquires to the department offering the course.

Duplicate CRN This error indicates that you have already registered for this course section. You can verify your current registration for the term by viewing the classes in the Current Schedule section.

Duplicate Course with Section This error indicates that you have already registered in a different section of the same course. If you wish to add the new section, you must drop the existing section in your Current Schedule before adding the new section.

Faculty Restriction In some cases, registration in a course is restricted to students of a particular faculty/ college (e.g. Faculty of Education or Faculty of Science). Further inquiries should be referred to the department offering the course.

Level Restriction In this case, registration is restricted to students in a certain level of study. (e.g. Undergraduate students may not register in Graduate level courses). Contact the department for further assistance.

You are missing either a LEC/LAB/TUT component for this course. Check Class Search. Some courses require that students register in an additional course component, such as a lab (LAB) or tutorial group (TUT), as a required element of the course. In this case, you must simultaneously select the lecture (LEC) and corresponding lab (LAB) when adding that course - e.g. BIOL 190A A01 (LEC) and BIOL 190A B01 (LAB).  

Major Restriction This error indicates that this course is only available to students enrolled in a particular major (e.g. English, Biology). For further information, please contact the department.

Maximum Exceeded The addition of this course will exceed the maximum number of units in which you are allowed to register. Please see Undergraduate Maximum Unit Registration in Step 4, above.

Pro Forma This error indicates that you are attempting to register in a pro forma (directed studies) course. Pro forma courses are not open for direct registration. Please contact your department to request permission to be registered in the section. If so, you will be required to fill out a Pro Forma Course Registration form.

Program Restriction This error indicates that this course is only available to students enrolled within a particular program of study (e.g. Nursing). Please refer further inquiries to the department. Certain courses restrict registration to students who have successfully completed related courses or received a sufficient grade in those courses.

Prerequisite Error This error indicates that you do not have the necessary prerequisite to register in this class. For more assistance, please contact the department. Prerequisites are listed under the course description in the Calendar (http://www.uvic.ca/calendar/CoIn/index.html)

Permission This error indicates that a student must first obtain the permission of the department to register in the course. Please contact the department in order to gain the necessary approvals. Once the department has given permission, you will be able to register in the course. See Step 4.

Time Conflict with XXXXX This error indicates that you are attempting to register in a section that has the same days and times as a section for which you are already registered. The ‘XXXXX’ is the CRN of the section with the time conflict. You are not permitted to register in two sections with the same days and times. To resolve the error, you can either drop the section that you are already registered for or choose a different section of the course you are attempting to add.

Year Long Course - Add First Term Section before Second Term Section This error indicates that you are attempting to add the second term section of a year long course without being registered in the first term section. To register in a year long course, you must register in the first term section before you are able to register in the second term section. To resolve the error, click on ‘Change Selected Term’ from the Add or Drop Classes page. Choose First Term (Sep-Dec). Register in the first term section of the year long course. Choose ‘Change Selected Term’ from the Add or Drop Classes page. Choose Second Term (Jan-Apr), then register in the second term section of the year long course.

Watch the deadlines for adding and dropping courses
You must drop or register in classes through uSource. The appropriate deadlines for summer are listed in the Summer Calendar (link). If you miss the deadlines you may use an Academic Record Change Notice (Add/Drop Form). This form needs to reach Graduate Admissions & Records by the last business day before the published deadline. There will be a $35 manual processing charge applied.

Temporary Withdrawal
After completion of a minimum of one term, students who do not wish to continue their studies may withdraw on a temporary basis by using the registration system. A withdrawal is effective for only one term at a time. Students must register for each subsequent term or withdraw again or they will be “Withdrawn without Permission”. A student may temporarily withdraw for no more than three terms in a master's program and for no more than six terms in a doctoral program. Time spent temporarily withdrawn is counted as part of the total time allowed for completion of the degree program.

Students can neither undertake any academic or research work nor use any of the University's facilities during the period of temporary withdrawal.

Please note that you may not temporarily withdraw for a term in which you are registered. You must drop the course(s) before you can attempt to temporarily withdraw.

If you wish to temporarily withdraw for a term, please follow the steps below:

  1. If registered, drop all your sections on the Add/Drop Classes page through Class Registration in uSource.
  2. Go to the ‘Graduate Student Temporary Withdrawal’ page through Class Registration. Select a term.
  3. Select a Term in which you want to temporarily withdraw from your graduate program. Submit.
  4. Add a check to the box that appears in front of the selected term.
  5. Click the Withdraw button if you want to confirm your request to temporary withdraw for the selected term. Select Cancel if you do not want to temporarily withdraw for the selected term. You will receive a message indicating if your request has been successful.
  6. If you wish to temporarily withdraw for another available term, select Change Selected Term.

Step 6: End Registration

Upon completion of registration, click “View Active Registrations” and “View Detailed Timetable” to review your registration and schedule. Click on the “Logout” icon on the upper right corner of the window to close uSource.
