Official Transcript Orders for Graduate & Undergraduate Students

The University of Victoria's Office of the Registrar issues Official Transcripts at the request of current and former students. The Official Transcript is the record of all credit studies completed and in-progress at the University of Victoria at the time of issue.

In order to comply with the Payment Card Industry Security Standards, we regret that we can no longer accept credit card payments by mail or fax.  Requests for Official Transcripts will now only be accepted by mail when paid by cheque or money order.  All transcript requests paid by credit cards must be submitted through the online Transcript Ordering System or in person.

In order to place an online transcript order a Netlink ID and Password is required to access the order form and an American Express, MasterCard, or VISA credit card to pay the fees at the time the order is placed. People without Netlink IDs should contact our office at trans@uvic.ca for further instructions on obtaining their netlink id or order transcripts in person.

 

Important Notes

STUDENTS’ RECORDS ARE CONFIDENTIAL. TRANSCRIPTS ARE ISSUED ONLY AT THE REQUEST OF THE STUDENT.

  • Current students are required to ensure that the grades they wish included on their Official Transcript have been recorded on their student record before placing an order for an Official Transcript. Students may view grades via the Unofficial Transcript on the Student Services menu by signing into My page . It is not possible to hold a transcript order for grades.
  • Transcript orders may not be processed for:
    • people who have outstanding fees owing to the University of Victoria
    • Non-credit courses taken through UVic Continuing Studies. Please contact Continuing Studies directly for information.
  • Courses that were dropped without academic penalty are not included on the Official Transcript.
  • Undergraduate students who have completed an undergraduate teacher education program at UVic who are sending their transcripts to BC COLLEGE OF TEACHERS (BCCOT) or BC TEACHER QUALIFICATION SERVICE (TQS) must use the form at this link. Students who have not completed an undergraduate teacher education program at UVic should use the regular transcript ordering process (see below).
  • University of Victoria students applying to University of Victoria Graduate Programs are not required to submit University of Victoria transcripts.
  • A replacement degree or a certificate of your degree can be obtained from the Office of the Registrar, Undergraduate Records.

 

Information for Transcript Orders

You will need to have the following information to place an order for an Official Transcript:

For Online Orders:

  • Netlink ID and Password
  • American Express, MasterCard or VISA credit card number and expiry date
  • Details of the transcript order (level of service, number of copies, delivery details)

 

For Other Ordering Methods:

  • Your FULL NAME (including any previous names)
  • Your UVic Student Number, and/or Notre Dame University Student Number, and/or Social Insurance Number, and/or Date of Birth
  • Telephone number or e-mail address where you can be reached. You will be contacted only if there is a problem processing your order.
  • Orders require payment at the TIME OF ORDER. Make cheques or money orders payable to the "University of Victoria".
  • Details of the transcript order (level of service, number of copies, delivery details)

 

Official Transcript Ordering Options

Levels of Service - There are two levels of service available for Official Transcripts Orders.

  1. Regular Transcript Orders - Normally processed within 5 business days of the receipt of the order (excluding weekends and holidays).
  2. Priority Transcript Orders - Normally processed within 1 business day of receipt of the order (excluding weekends and holidays) and within 30 minutes for in-person requests at the Office of the Registrar.

 

Number of Copies - You may order more than one (1) copy of your Official Transcript to be delivered in the same manner to the same address (as applicable). Transcript prices are per copy; courier prices are per address.

Delivery Methods - There are four delivery options available for Official Transcript Orders.

  1. Hold for Pickup - The transcript will be held at the Undergraduate Admissions and Records Front Counter in the Office of the Registrar (Main Floor, University Centre). Photo ID is required to pick up the official transcripts. Written authorization is required for someone else to pick-up your transcript and that person must provide photo ID.
  2. Mail via Canada Post - The transcript will be mailed to the address that you provide via regular mail. The University of Victoria is not responsible for transcripts that are lost or delayed in the mail.
  3. Fax and Mail via Canada Post - For an additional fee of $3.00, your transcript will be faxed to a number you provide and mailed to an address that you provide. The University of Victoria is not responsible for transcripts that are lost or delayed in the mail.
  4. Courier - For an additional fee, your transcript will be couriered to the address you provide.

 

The order status for online orders may be viewed by signing onto My page . From the Student Services menu, choose the Grades and Records tab, and the Transcript request status option. For orders not placed via the online system, you must request a confirmation that your transcript was sent and supply us with an e-mail address.

Courier Orders

For courier services a complete street address is required with postal code as well as the telephone number of the recipient. Courier services WILL NOT deliver to a Box number. If no street address is provided the transcript will be mailed via Canada Post.

Courier Charges are subject to change and will be applied at the rate current at the time your order is processed. The following charges are those in effect:

  • To an address in Canada $20.00
  • To an address in the United States $32.00
  • To an address outside Canada and the United States $47.00.
  • Any return charges that are incurred due to the inability of the courier company to deliver the transcript package or the receiver´s failure to pick up or accept such delivery.

Regular Transcript Orders

 

The cost is $10.00 per copy, which must be paid AT TIME OF ORDER. Transcripts will be produced within 5 business days after receipt of request. Once produced, transcripts will be held for pickup, mailed, faxed (charges extra) and mailed, or couriered (charges extra) as requested. The University of Victoria is not responsible for transcripts that are lost or delayed in the mail.

Transcripts display your academic record as of the date of your request. If you are waiting for grades do not place your order for an Official Transcript until your grades appear on your Unofficial transcript, accessible via My page.

You may request that an order for a Regular Transcript be held for the awarding of your degree if you are expecting to graduate at the next convocation ceremony only. Transcripts orders that have been held for a degree will be processed within a few business days of the Senate approval of degrees. Orders will be processed regardless of whether or not you were awarded a degree.

Written permission with your signature is required if a friend/relative is to order or pickup the transcripts for you at the Undergraduate Admissions and Records Front Counter of the Office of the Registrar.

Regular Transcript Ordering Options:

  • Online - sign into My page and from the Student Services menu choose the Grades & Records tab, then choose the Request Official Transcript link. (Please note this requires a Netlink ID to access this service and a credit card to pay the fee.)
  • In person - Undergraduate Admissions and Records Front Counter (Main Floor, University Centre) and complete a Regular Transcript Request.
  • MailRegular Transcript form in PDF format. Get Adobe Reader

Priority Transcript Orders

This service is not available for undergraduate transcript requests to the Teacher Qualification Service or College of Teachers as additional reporting accompanies the transcript.

The cost is $17.00 per copy, which must be paid AT TIME OF ORDER. Transcripts will be produced within 1 working day after receipt of request as specified below. Once produced, transcripts will be held for pickup, mailed, faxed (charges extra) and mailed, or couriered (charges extra) as requested. The University of Victoria is not responsible for transcripts that are lost or delayed in the mail.

Transcripts display your academic record as of the date of your request. If you are waiting for grades do not place your order for an Priority Transcript until your grades appear on your Unofficial transcript, accessible via My page.


Written permission with your signature is required if a friend/relative is to order or pickup the transcripts for you at the Undergraduate Admissions and Records Front Counter of the Office of the Registrar.

To order a Priority Transcript you may:

  • Online - using the Official Transcript Request option. Sign into My page and from the Student Services menu choose the Grades & Records tab, then choose the Request Official Transcript link.  From here, you will be able to select the Priority Transcript type from the drop down menu. (Please note this requires a Netlink ID to access this service and a credit card to pay the fee.)
  • In person - Undergraduate Admissions and Records Front Counter (Main Floor, University Centre) and complete a Priority Transcript Request.
