Sample Letters/Information Regarding Academic Standing

Please refer to the regulation titled ‘Standing’ in the current calendar for information on academic standing which includes Requirement to Withdraw, University Probation (Dean’s Probation), and Standing Withheld. In cases where a difference occurs between this information and the letter issued by Undergraduate Records, the information contained in the letter issued directly to the student will be considered to be the definitive version/information.

Sample Letter #1: Required to Withdraw (After Winter Session)
Issued when a student is assigned a sessional grade point average after Winter Session which is below 1.00 while registered in 4.5 units or more OR is assigned a sessional grade point average below 2.00 WHEN ON PROBATION regardless of course load.

Sample Letter #2: Requied to Withdraw (After Summer Studies)
Issued when a student is assigned a sessional grade point average after Summer Studies which is below 1.00 while registered in 4.5 units or more OR is assigned a sessional grade point average below 2.00 WHEN ON PROBATION regardless of course load.

Sample Letter #3: Probation Information
The following information details the conditions of probation and supplements the notice issued to students through their UVic netlink email and on their Statement of Grades/Authorization to Re-register.

Sample Letter #4: Accumulated Fails
For information only, to assist student in avoiding assignment of additional failing grades. Issued once 5 failing grades (E/F/N) assigned in course of UVic studies.

Sample Letter #5: Standing Withheld (After Winter Session)
Issued after Winter Session when a student’s standing has been withheld and they were registered in 4.5 units or more and their projected gpa is below 1.00.

Sample Letter #6: Standing Withheld (After Winter Session)
Issued after Winter Session when a student’s standing has been withheld and they are ‘on probation’ with a projected gpa of below 2.00.

Sample Letter #7: Standing Withheld (After Summer Studies)
Issued after Summer Session when a student’s standing has been withheld and they are either (1) on probation in the current session with a projected gpa below 2.00 or (2) whose projected sessional grade point average in Summer, on a registration of 4.5 units or more, is below 1.00.
