Frequently Asked Questions
Why do I have to wait until the end of February or October to know when my exam is? My last institution gave me my exam schedule at the beginning of the term.
The Exam Timetable is produced by computer from the list of courses which are to be scheduled from EACH STUDENT'S course registration. The University attempts to prepare an efficient timetable so that students (who are properly registered) will not have conflicts in their exam times. The scheduling program also tries to reduce the number of students writing back to back exams.
Requests for special dates of exams cannot be accommodated. Similarly, class votes on changes in the scheduled date of an exam cannot be approved.
How long does the university keep my exams?
Exams will be kept for 12 months following the exam, including any Deferred exams. After this time they will be destroyed.
Where can I see the exam(s) I have written?
Exam viewing is held in Undergrad Records and/or the Department. It is the decision of the Department whether exams are sent to Undergrad for storage. Please check the following link for exams that are in Undergrad Records. http://registrar.uvic.ca/undergrad/registration/exams/index.html
Can I take my exams home?
No, Exams are the property of UVic, unless otherwise specified by an Instructor.

What is a Supplemental exam and can I write one?
You have received an E grade in a course. The Department is giving you the benefit of attempting the exam again because your original grade is between a D and F. There are certain parameters that must be met to allow a supplemental, including not being on probation and being registered in 15 units. If you qualify, you will be sent details by email if you receive an E grade.
I was sick and missed a final, what do I do? …
You need to complete a ‘Request for Academic Concession’ form available in the Registarar’s office or in PDF form on line at: https://registrar.uvic.ca/undergrad/records/forms/forms.html
You must submit this form along with documentation validating the absence (Doctor’s note, obituary notice..) Midterm exams are handled by the Department of the course you are registered in. Contact them directly.
I would like to sit down with my Instructor to go over my exam.
If the exam is being stored in the Department you can contact them directly and arrange a meeting. If the exam is stored in Undergrad Records you can request the exam to be sent over and it is up to you to contact the Instructor to arrange a meeting time.
What steps are involved with a formal Grade Review.

There is a $25.00 per course charge for a Formal Review as all course work may be reviewed by a separate panel. If the grade goes up you will have your money returned.

The FINAL examination timetable will be posted online,
- by the end of October for first term (December) exams;
- by the end of February for second term (April) exams ;
- by mid June for August (Coop) exams.
PRELIMINARY timetables for April and December exams are posted prior to the final timetable - you are advised NOT to make travel or employment arrangements based upon this preliminary information since changes may occur prior to the Final Timetable. Special arrangements can NOT be made for examinations that may conflict with such plans.
Examinations for Summer Session are held in the class period on the last day of the session in which a student is registered.
August/COOP exams (Term 1) are posted in mid June and are held in the first 2 weeks of August following BC Day.
Timetables on this menu are up to date as of the date on the listing. Instructors are responsible for informing students of any changes made after the Final exam timetable has been posted.

Students are advised to check the Final Exam Timetable very carefully. Changes may have occurred since the Preliminary Timetable was posted.
NOTES:
- Exam Conflicts:
Students who have two exams scheduled at the same time have an exam conflict. These are to be reported to the Exam Clerk at exams@uvic.ca. An evening exam on one day and a morning exam on the next day are not exam conflicts, nor are two exams in the same day.

- Procedure in Cases of Illness, Accident, or Family Affliction:
A REQUEST FOR ACADEMIC CONCESSION (available at Records & Registrarial Services or in PDF form at: https://registrar.uvic.ca/undergrad/records/forms/forms.html) and must be submitted within ten working days of the end of the examination period, to support consideration for Aegrotat or Deferred standing. If you fall ill during an examination, report at once to the invigilator in charge.
A student who completes all course requirements, including writing the final examination, is not eligible for an academic concession. Exceptions may only be considered by the Dean (or designate) of the student's faculty if there is supporting documentation that the student was not medically or otherwise fit to make a decision on whether or not to write the examination. A Request for Academic Concession must be submitted to Records & Registrarial Services as soon as possible after the examination and before the results of the examination are known.
- Grades:
Grades and unofficial transcripts can be viewed through My page.
- Grades are due in Records & Registrarial Services according to the following Senate policy:
"For all courses that do have a final exam grades are to be submitted 7 calendar days after the exam.
For all courses that do not have a final exam grades are to be submitted 7 calendar days after the last day of class."
A 3 day delivery / processing time should be expected bewtween the exam grade submission deadline and the point at which the grade will appear on the academic record.
If you are concerned that your grade has not appeared within the above-noted time frame, you should contact your Instructor directly.
- Special arrangements for Students with Disabilities:
Students requiring specific specialized accomodations during exams or special invigilating are required to complete the appropriate form at the Resource Centre for Students With a Disability, Campus Services Building, (250) 472-4947.
